Accounts Setup

Types of accounts:

1. Corporate: for big companies with one or more passengers where you want to keep their individual address, credit cards, and direction, etc. separate. See the Passengers button image above.

2. Individual: is used for personal accounts.

3. Farm-in/Subcontractor: is used other limousine services that farm in rides to you. Add a commission percentage as show above. You may print an invoice for this account and LimoWiz makes the proper adjust to the total due of the multi trip invoice/statement.

4. Travel agent: is similar to the Farm-in account type.

Each account can have unlimited number of passengers, contacts (people who order trips), alternate mailing address, Account Payable (A/P) list, multiple credit cards, directions.

New Accounts:

To add your accounts, click on the Accounts icon, or select it from the Browse menu, then click on the Add button from the Account list window.

Account Number: Can be up to 10 characters. You may use the last name, company name, phone number without dashes or anything you wish, but use one that is easy to associate with the account. Names are easier to remember that numbers, especially when you have many accounts.

One-Time Customers - General Accounts:

To create general accounts, like CASH, PROM, WEDDING, COD, for one-time customers, create an account with blank address and specify only the payment method and account type. You may create passengers with their address information under those accounts. If later you wish to convert a passenger file into an account, display the passengers list and click on Convert to Passenger to Account button.

Enter address information and whatever is applicable.

City/Zip code field has the Auto Complete active. For cities with multiple Zip Codes, it's recommended that you enter the Zip Code first. If city is not found, you can add it to the Zip code file.

Private Note: This note pops up when you're entering reservations. It does not print all at.

Ticket Note: This note prints on trip ticket and dispatch sheets only.

Account Source: This is a user created list. For example: Yellow Pages, Website, etc.

Fed Tax ID: Federal Tax Identification Number.

Payment Method: The normal Pay Method, like cash (CA), credit card (CC), direct bill (DB), Direct bill CC (DC) etc.

Account Type:

1.Corporate
2.Individual
3.Farm-In / Subcontractor (for example another limousine service).
4.Travel Agent

If the account type is Travel Agent or Farm-In you may enter the commission percentage.

BILLING/INVOICING NOTE:
 
An account MUST turn on [x] Requires Invoice/Statement checkbox on account edit window

Discount %: Discount applied to trip entered. Basic Rate, Waiting Time, Early/Late Hour charge, Extra Stops and Additional Amount fields, affect amount. See Trip window.

Commission %: For Travel Agents and Farm-In Accounts.

Tip (Gratuity) %: Percentage when entering trips. If you want an account to have a gratuity percentage to be the same at all times, click the override the trip service type gratuity.

Basic Rate Adjustment: Amount added or subtracted from the basic rate of the trip.

Open Balance: The amount the account has as an open balance. If it is negative, it acts a credit and will be considered when applying multi-trip payments. If positive, it's added to the total due of the Multi-Trip Invoice.

Mail: flags the account to receive mailing labels. This can be used in the Query feature to select only the accounts that have this flag checked.

Here you select the default rate settings that determine the rate when entering trips. If none are entered, LimoWiz will save these fields after entering the first the trip for this account. You may also enter an administration fee amount or percentage, which will appear automatically when you add new trips for this account. Non-Taxable

Discount on Gratuity can also be set.

Note: While you're entering the trip, you may add and edit account and passenger information.

Account Sales Contact:

An account may be assigned a Sales Contact receives a commission
